Embroidery Scheduling and Run Times

Hey there! Been trying to help streamline some things in our embroidery department.

Was curious how you schedule time on your presses or estimate run times at your shop? What works for you? I was thinking about making a google doc calculator to help estimate run times etc...

Came across this little formula a long time ago and been using it ever since to schedule our embroidery.

# Stitches in design  ÷  Stitches Per Minute (higher for flats, lower for caps  = A
A  X  # Pieces in Order  =  B
B  ÷  # Heads Running  =  C
C  X  1.5  =  Total Production Minutes (includes goods check in, thread changes, hooping, thread breaks, bobbin changing, needle breaks, unhooping, trimming, steaming, boxing, paperwork, etc.)
TPM ÷  60(minutes)  =  Hours to run job.

For Example:  19822 stitch crest design, 48 pc order on our 6 head Barudan with 1 operator doing everything.

19822 ÷ 850/Stitches per min = 23.32 min. per piece X 48 pcs = 1119.36 minutes ÷ 6 (number of heads) = 186.56 X 1.5 = 279.84 Total Production Minutes ÷ 60 min. = 4.7 Hours 

Sometimes it seems like a lot of time for a job, and sometimes when the stars all line up, it is.  Other times, I could quadruple it and it still wouldn't be enough.  So it's a nice, comfortable average.

We use pretty much the same math with the exception of the 1.5. Going to give this a whirl and see where I land. Thanks for taking the time to share!

 I have a 3 part spread sheet created for calculating embroidery costs and times based on your overhead I am willing to share. THE FORMULAS ARE VERY COMPLEX so please only change whats in blue. Please let me know how you like it.All costs on tabs 2 and 3 are based on your numbers on tab 1 for costing but it also gives you exact production times based on stitches per min, down time,. the thread stops and all that are built in also. The numbers on page 1 are just random to give you a example. PLEASE EMAIL ME AT

Hello Rick,
would you mind sharing your formula with me as well? I started business as a screenprinter and struggle to understand/predict/schedule embroidery part of our business. So we keep getting in situations where our embroidery dep. manager keeps yelling: no more orders we are unable to do anything for ten days. Then two days later she walks  in to me saying, we leave earlier today boss, we have no orders to do...
